Office Assistant Position

This is a PART TIME Patient Care Office Assistant position at our NE Portland clinic.

 

You must be a positive, upbeat, RELIABLE and PUNCTUAL people person who enjoys making conversation and helping people feel at ease.

 

The primary focus of the position will be front desk reception providing excellent customer service to our patients as they are checking in/out and over the phone.

This position is a valuable assistant to our Clinic Director, so we are looking for someone with a can do attitude as well as someone who can think ahead to solve problems on their own.

Other tasks will be to organize and implement back office systems, creating patient invoices and receipts, collecting payments, scheduling appointments, helping with herbal pharmacy inventory - a variety of big and little tasks needed to manage the clinic.

 

One of your main tasks will be Invoicing and managing Accounts Receivable. Any past experience will be helpful but we will offer training in our specific systems

 

 

Previous Skills that will help a LOT :

  • Excellent Mac computer and typing skills- Ability to write thoughtful professional letters and patient correspondence
  • Ability to create engaging social media content and maintain the posts calendar for Facebook and Instagram
  • Able to create office flyers for promotions
  • Experience or some knowledge about acupuncture
  • Sales and customer service experience
  • Excellent interpersonal, verbal, and written communication skills
  • Warm, welcoming and positive demeanor
  • Ability to work independently with initiative
  • Knowledge of QuickBooks online preferred, but not required
  • Tech savvy and know how to trouble shoot - Printer, Internet and Mac computer or Phone issues as they may arise
  • Proficiency on a Mac OS, MS Office, Adobe Acrobat, online scheduling
  • Must be comfortable invoicing and collecting fees from patients

 

Our work environment is calm and relaxed but we take our business very seriously. The position is part time and we are looking for someone who sees this as a potential LONG-TERM opportunity.

Hours

15 - 20 hours

Monday : 12:00 - 5:30

Tuesday-Thursday: 9:00 - 2:30

 

Will train, starting wage is $15/hour. Trial period to train and performance review after three months.
